How do I upload an Invoice from my DMS?
Once you have finalised your invoice in your DMS, transferring it to Drivible is easy.
Upload a Sales Contract first. Sales Contracts typically have more client contact information than Sales Invoices, and by uploading the Sales Contract Deal you will extract information that will be handy for later sending to your client.
Once saved, click on the Invoice tab and upload a saved Invoice from your DMS.
Another method, is to send the Invoice directly from your DMS to Drivible via your dealerships unique email address. Listed below the upload Drag & Drop section.
Note; As Invoices generated from your DMS typically don't have contact information and other information, it might not always matchup to your deal.
Once the Invoice has been uploaded. Check the fields that have been extracted are correct. Especially the fields you will use from Referencing. If fields are incorrect or missing. Simply add or edit, then click [Save].
Check/Enter Details
When your invoice and fields are ready to send. Simply [Save], then click on [Send]
Confirm Details
Double check the contact details, the Client (or Company) email address and mobile number.
Enter in the final settlement amount. This is the amount you expect the client to send via bank transfer.
Check the details and ensure the Bank Details are what your dealership expects.
The checking of dealership details and bank information is a crucial step to prevent Invoice and banking fraud. If your details appear incorrect, Contact your Admin IMMEDIATELY.
When Sent, your clients will receive an SMS and email (if the details entered into Drivible). It is important that both the email address and mobile is supplied, so the client can cross reference bank details.
Client is sent SMS and Email
The client can click on the link via the email or the SMS. The link takes them to a secured portal where the invoice and bank details are located.
Client enters eInvoice Portal
Bank details then made available on either a mobile device or PC browser.
Client can copy and paste bank details into the online Banking platform to ensure accuracy.
The Drivible logo seen above is only for demonstration purposes. If you have your dealerships logo uploaded in dealership settings it will be shown instead.
The client is then prompted to confirm they have transferred the payment. They can also write an optional message.
Note: The client confirming transfer is only for communication purposes. You must confirm with your dealership admin department that funds are received in your bank.
Confirmation Email
Both the client and the dealership user (typically the salesperson) will be sent a confirmation email with the attached invoice in pdf form.
The clients message is also included in the email.
The bank details on this email should also be checked as a final confirmation of correct bank details.
As an option, you can improve the communication with your clients by notifying them when you have received the payment. Click on the button below and they will be notified on successful payment.
Setup my Dealerships Bank Details
DEALERSHIP/GROUP ADMIN ACCESS ONLY
Before you can use eInvoice, your dealerships Admin must setup your bank details.
Please be careful when entering details. When finished click [Save].
Your Bank details can be edited by Admins, but all changes will be emailed to all the admins for your dealership to ensure accuracy and stop incorrect use.
PayID (Australia): Is optional, but a great way to make transferring money easier and unique from your business.
Reference: To ensure accuracy and consistency, enter in your dealerships preferred Reference for bank reconciliation. The details from this field will be used when requesting payment from your clients.
The bank details entered in the dealership settings are used when requesting payment from your clients. These details are then use to cross reference with the Invoice. Clients are encourage to also speak to the dealership to confirm details.
An email is sent to all users alerting them to new or changed bank details.

The Dealership and it's users must take all reasonable steps to secure their email and ensure that Drivible remains secure by not sharing accounts and ensuring users create effective passwords.
