Sending documents directly to your unique email addresses

Here are some tricks to make saving documents easier.

Updated over 2 months ago

Drivible has a unique feature where documents can be saved via your email directly into your Drivible folders. However, many dealers are not using the features in windows that can make this feature even better.

Windows key + v

Documents such as sales contracts and service invoices can sent directly from your DMS. Most DMS have the ability to email documents from the print screen. Simply go to https://dealer.drivible.com.au/admin/incoming-email-addresses to find your unique email address then use copy button or Ctrl + C.

Then whenever you need to send the document to Drivible simply select the email option in your DSM, then use the shortcut Windows key + v. This will show a list of all your copies in the clipboard.

DMS Contact

Many dealers have setup a contact in their DMS and called it something like "Drivible RO email". Then whenever the user gets to the email screen, their DMS allows them to input a new contact for the email. This then replaces the clients email address with the "Drivible RO email" address.

Email Rules

Email systems such as Outlook make it possible to forward emails based on the incoming email satisfying certain rules. For example, emails received from [email protected], that have a subject containing "invoice", could be automatically forwarded to your drivible unique email address for accounts payable invoices.

Email Address Book

For those dealerships that don't want to rely on email rules, they could still gain efficiency by saving the drivible emails addresses as contacts within Outlook or other systems. When an invoice is received, simply use the forward email and then search your address book for a contact you have previously saved.
